MS Visio is Microsoft’s diagramming application. It builds flowcharts, org charts, network diagrams, and floor plans from ready-made templates, stencils, and shapes, and can hook them up to live data. It belongs to the Office family, but you can buy it separately — Plan 1, Plan 2, or a one-off licence.
- Visio handles proper standards: BPMN 2.0, UML 2.5, ERD, and IEEE electrical symbols.
- Three ways to access Visio: Visio in Microsoft 365, Plan 1 (web), and Plan 2 (web plus desktop).
- Plan 2 has 250,000+ shapes, AutoCAD files, and two-way data sync.
- There is no Mac version of it.
- Visio 2024 is the current release, available in Standard and Professional editions.
What Is The MS Visio Program?
Visio is just like Word, Excel, and PowerPoint as a Microsoft Office application, yet it has never been bundled into the standard Office packages. You buy it on its own.
The job it does is dull to describe and brilliant in practice. You drag a shape, drop it, and connect it. The template already knows the rules of your trade, so a process map behaves like a process map and a wiring diagram uses the right symbols.
What separates it from a drawing app is data. A Visio diagram can read a spreadsheet and redraw itself when the numbers move.
From A Floppy Disc To A $1.5 Billion Deal
Version 1.0 was launched in 1992, built by Shapeware Corporation, a company only three years old in the market. Before that, version 0.92 went out free on a floppy disc alongside a Windows readiness tool.
It sold. Shapeware liked the name so much it renamed itself Visio Corporation in 1995. Microsoft then bought the lot in 2000 through a stock swap worth around $1.5 billion, its biggest acquisition up to then.
Wikipedia states that the software flags the daft bit of the version history: there’s no version 7, 8, or 9, because Microsoft realigned the numbers with Office. Version 13 got skipped too. Superstition, nothing more.

What You Can Build With It
| Diagram | What do people use it for? |
|---|---|
Flowcharts | Steps, decisions, process maps, workflows |
Org charts | Who reports to whom, top to bottom |
Network diagrams | Nodes, topology, and how data moves |
Floor plans | Offices, retail layouts, houses, hybrid workspaces |
Mind maps | Brainstorms shared in Teams |
Gantt charts and timelines | Launch roadmaps and marketing plans |
UML, ERD, BPMN | Software, databases, business processes |
Noble Desktop counts over 250,000 symbols across the range. You can import your shapes too, which architects and engineers do constantly.
Features Worth Knowing
- Shape data: Stick information onto a shape without cluttering the page. A job title and department number behind an org chart box. An IP address behind a router icon. Right-click, pick Shape, and there it is. SmartDraw’s overview makes a good point here — hardly any rival offers these features.
- Live data links: Visio reads Excel workbooks, Access databases, SharePoint Foundation lists, SQL Server, Exchange Server directories, Microsoft Entra ID and other OLEDB or ODBC sources. Catch: linking only works in the desktop app. The web app can view data-linked diagrams, not build them.
- Automation: There’s an open API that supports VBA, C#, and .NET. Write the script once, and Visio draws the diagram for you. You will need to define coordinates and sizes yourself, so it’s a weekend job, not a ten-minute one.
- Everything else it plugs into: Teams for co-working, Power BI through Visio Visual, Excel’s Data Visualiser, Word for documenting process metadata, PowerPoint slide snippets, Azure stencils, and 2 GB of OneDrive with either paid plan. If you plan to walk colleagues through a diagram on a call, these video conferencing tips will help it land.
- Accessibility and security: Narrator, an accessibility checker, high-contrast support, and information rights management so protection sticks to the file. Rights management protects the file itself, but it also helps to understand ransomware attacks and how to prevent them, since network diagrams often map exactly the systems attackers target.
Visio Plans And Pricing
| Option | What’s in it? | Cost |
|---|---|---|
Visio in Microsoft 365 | Limited templates, basic flowcharts, web collaboration | Included with eligible M365 commercial plans |
Visio Plan 1 | Thousands of shapes, cross-functional flowcharts, Azure and AWS diagrams, UML, ERD, Power BI | From $5 per user/month, annual commitment |
Visio Plan 2 | Thousands of shapes, cross-functional flowcharts, Azure and AWS diagrams, UML, ERD, Power BI | From $15 per user/month, annual commitment |
Microsoft’s pages list UK prices in pounds, excluding VAT. Free 30-day trials cover Plan 1 and Plan 2 only for first-time users on a work or school account. Standard and Professional get no trial at all.
One trap for small British firms: a Business Basic or Standard plan running on a hotmail.com, outlook.com, live.com or msn.com account doesn’t count as commercial, so no Visio web app.
Perpetual Licences And File Formats
Prefer to buy once? Visio Standard 2024 and Professional 2024 are sold as perpetual licences, at roughly $309.99 and $579.99. Visio 2021 was the first release on the Long-Term Servicing Channel.
The professional adds UML tools, validation, data graphics, secured diagrams, and better AutoCAD support. Visio 2021 also brought AWS and Azure stencils, a visual refresh, and a decent speed bump over 2019.
Since 2013, the default format has been VSDX, with VSDM for macros — both ZIP archives of XML files. Pre-2013 .vsd files are automatically blocked. Saving for someone on Visio 2003? Export as .vsd. And you can’t mix 32-bit and 64-bit Office and Visio installs.
Running 2021 needs a 1.6 GHz processor, 4 GB free disc, 2 GB RAM (32-bit) or 4 GB (64-bit), and Windows 10, 11 or Server 2019. Visio 2019 asked for less: 1 GHz, 3 GB disc, 1 GB or 2 GB RAM, and Windows 8 upwards.
Benefits And Drawbacks
Stencils are easy, PDF exports are clean, automatic spacing keeps things tidy, and anyone who knows Office finds their feet in an hour. Architects, engineers and IT teams all get templates built for them. An IT team mapping its WAN links, for example, can sketch the design in Visio before weighing up how SD-WAN cuts MPLS reliance.
Now the gripes. Licences cost real money, and clients without one can’t edit your diagram. The interface feels cluttered. Auto-arrange occasionally knocks alignment out. Big shapes are fiddly to resize. No 3D animation. And proper simultaneous co-editing isn’t there — feedback arrives in turns, not live. Distributed teams can soften that gap with good habits for managing digital assets with remote teams, such as clear file versioning and agreed review rounds. Lucidchart’s write-up adds the obvious one: no Mac build, which is why third-party apps sprang up.
Program Like MS Visio
Plenty of program similar to MS Visio now undercut it:
- diagrams.net (draw.io) — free, open source, imports and exports .vsdx.
- LibreOffice Draw — free, offline, opens Visio files.
- yEd Graph Editor — thousands of nodes without breaking a sweat.
- Miro, Lucidchart, and Creately — browser-based, built for live teamwork.
- Google Drawings, Coggle, PlantUML — quick, free, each with a niche.
Venngage’s roundup of free options picks diagrams.net as the sensible starting point. For software teams, IcePanel’s comparison argues model-based tools beat Visio for long-term architecture docs, since you aren’t duplicating boxes everywhere.

FAQs
Q1: Is Visio Included In Microsoft 365?
A cut-down web version comes with most Microsoft 365 commercial plans. Full diagramming needs Plan 1 or Plan 2, which must be bought separately.
Q2: Does Visio Run On A Mac?
No. There’s never been a macOS build. Mac users work in the browser or switch to a third-party app.
Q3: Is Microsoft Killing Off Visio?
No. Visio Web Access retired on 10 February 2023, but Visio for the web, the desktop app and Visio 2024 carry on.
Q4: Plan 1 Or Plan 2 — What’s The Difference?
Plan 1 is web only. Plan 2 adds the Windows desktop app, offline working, far more shapes, AutoCAD support and two-way data sync.
Q5: Will Visio Open My Old Files?
Mostly. Current versions read older files, but anything pre-2013 is blocked by default until you unblock it.
Q6: Does Visio Work On Windows 11?
Yes. Every supported version runs on Windows 11, including the 2013, 2016 and 2019 non-subscription releases.
